Booking terms and conditions

Bookings can be made direct through our website www.thepippinshickling.com

The contract for short term holiday rental of The Pippins, Staithe Road, Hickling, Norwich NR12 0YJ (The Pippins) will be between Steve and Sue Adkins (herein after referred to as we or the owners) and the person making the booking and all members of the holiday party (referred to as the guest, you, your) in the booking conditions.  UK Law will govern the Contract.  The contract will be subject to these bookings conditions and must be complied with.  The party leader must be at least 18 years of age at the time of booking and prior to arrival, we must be provided with a list containing the names, ages, postcodes and contact details of all guests.

Covid specific conditions: Please ensure all guests understand the social distancing guidelines at the time of travelling as the situation is changing on a regular basis. Please refer to Government guidelines for the latest advice.

Covid Cancellation Policy: If you or a member of your party develop symptoms of Covid-19, tests positive for Covid-19, receives a track and trace alert within 14 days of your holiday starting or is required to self-isolate, please do not travel.  Let us know straight away, DO NOT come on your holiday. 

If your booking has to be cancelled because The Pippins is put under Government restrictions and has to close and the period of closure covers your booking, you will be refunded in full.

In the event that your given address is put into local/regional lockdown, rendering you unable to travel and the period of restriction covers your booking, you will be refunded in full.

If you or a member of your party develop symptoms of Covid (high temperature, persistent cough, loss of taste or smell), during your holiday, please let us know immediately, check out and return home.  If you develop acute symptoms, please dial 999 and inform us immediately.  If you become ill within 14 days of returning home, you MUST let us know.

If your booking has to be cancelled because The Pippins has to close through Force Majeure, meaning any of the following circumstances which may hinder or prevent the performance by us of the Contract, including but not limited to;

  • Acts of God, flood, drought, earthquake or other natural disaster
  • Epidemic or pandemic
  • Terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo or breaking off of diplomatic relations
  • Nuclear, chemical or biological contamination or sonic boom
  • Any law or any action taken by a government or public authority, including without limitation imposing a restriction, prohibition or failing to grant a necessary licence or consent
  • Collapse of buildings, fire, explosion or accident
  • Non-performance by our suppliers or contractors
  • Failure of utility service and the period of closure covers 

You will be refunded in full.

Customer inability (or the inability of any, some or all of your intended party) or disinclination to travel to and stay at The Pippins for any reason: This includes but is not limited to illness (including Covid), a requirement or recommendation to self-isolate or quarantine, shielding, a call to jury duty, military service, incarceration, change in personal or work circumstances, family emergencies, travel delays, vehicle breakdown and delays with public transport.  These remain at your risk and do not give rise to a right to cancel or to receive a refund unless we re-let the property.

You are strongly recommended to take out UK travel insurance to cover these eventualities.  If you choose not to take out UK travel insurance, then you accept responsibility for any loss that you may incur due to your cancellation.

Cancellations must be notified to Steve and Sue Adkins by phone and email and once received in writing we will acknowledge the cancellation request.

Providing the owners receive e-mail notification of cancellation not less than 8 weeks prior to the arrival date, the guest will forfeit the deposit but will not be liable to pay the balance. It is the responsibility of the guest to ensure the cancellation email reaches the owners. If the cancellation is less than 8 weeks prior to the arrival date the full balance remains payable.

The owners reserve the right to cancel any bookings providing e-mail notification is given and any balance paid is refunded.

Bookings are confirmed on receipt of a deposit of 25%.

By submitting a booking request it is deemed that you have read and agree to the terms and conditions on our website.

Payment of the remaining balance (total price, less deposit, plus security deposit) must be paid 8 weeks prior to arrival.  Bookings made less than 8 weeks before your arrival date must be accompanied by full payment of the holiday plus the £100 refundable damage deposit.  Please note – everyone occupying The Pippins (staying overnight) must be listed on the booking form, including children. The maximum holiday period for any booking is 28 consecutive days, subject to availability.

The price is for your exclusive use of The Pippins and contents (including electricity, heating oil, mains water, bed linen, towels, WiFi, welcome pack, one basket of logs, kindling, matches and firelighters and a bag of charcoal for the barbeque and chiminea.

Booking Changes: If you need to change your booking after confirmation you must email susan.adkins1964@gmail.com as soon as possible and we will endeavour to meet your requirements. If you are requesting additional people to your booking and this is possible, they will be added on the understanding that they have also accepted the terms and conditions. We will issue a revised booking email to confirm your changes.

Party Size: The maximum capacity the Property accommodates is 4 people. Persons under 18 years of age must be accompanied by parents or responsible adults. Permission must be obtained in writing from the owners if persons not listed at the time of booking are to visit the property and use the facilities – At no time can these guests stay overnight at the Property. The owners reserve the right to refuse admittance if these conditions are not met. Failure to comply will render the booking void, with a requirement to vacate the property immediately, no compensation will be paid, and the security deposit will be forfeited. Only the persons shown on the booking form are permitted to stay at The Pippins.

Fire safety: For the safety and comfort of our guests smoking is not permitted inside the Property at any time, this includes e-cigarettes. Non-compliance will result in a forfeit of the security deposit and guests could be asked to leave without refund. The use of candles inside the property is not permitted.  Fireworks are not allowed without our express written permission.  Chinese sky lanterns are expressly forbidden.

Right of Entry:  We may enter the cottage with reasonable cause i.e. essential repairs but will always try to minimize any disruption to your holiday.

Check in and Check out: Check-in to the Property is 4.30 pm on the day of arrival and check-out is 10:00 am on the departure date.  There is no refund if you leave early.

If you leave anything behind that you would like returned to you, please let us know as soon as possible and if we can locate it, we will package and post it to you at cost.  Left items will only be kept for six weeks.

Responsibilities: All persons forming the party of the guest whether or not they are stated on the booking form are responsible for the care of The Pippins and are expected to take reasonable care of it, turning off all unused items, and closing of property windows and external doors. Failure to comply could result in the named persons (jointly and/or severally) being held responsible for the cost of losses and damage incurred in the event of a burglary whilst the property is unoccupied. At the end of the rental period, all utensils, furnishings, walls, and fittings must be left clean and tidy. Children must be supervised by responsible adults at all times. The Guest is responsible for leaving the property in good order and in a reasonably clean condition.

Returnable Security/Damage Deposit £100:  Please treat The Pippins facilities and accommodation with due care so that other guests may continue to enjoy them. If you notice damage in the property let us know immediately so that we can take appropriate action. If there have been any breakages during your stay, we would be grateful if you could advise us before you leave. The Property will be inspected at the end of the holiday and you may be charged for any loss or damage found. The security deposit will be fully refundable within 1 week after your departure from the Property, providing there are no claims against it.

Claims include but are not limited to: – additional costs caused by guest misuse of equipment, damage of any kind and any excessive cleaning costs incurred. The Guest will be held responsible for all additional costs, which exceed the security deposit, and any additional sums must be paid within 14 days of your receipt of an invoice setting out these additional items.

Code of Conduct: You are responsible for The Pippins and are expected to take all reasonable care of its furniture, pictures, fittings and effects in or on the property.  You must leave them in the same state of repair and in a reasonable clean and tidy condition at the end of the rental period.  You must not use The Pippins for any dangerous, offensive, noxious, noisy, illegal or immoral activities or carry on there any act that may be a nuisance or annoyance to other neighbouring properties.

In the event that any member of your party behaves in a way that is likely to cause distress, danger or annoyance to any residents the owners reserve the right to terminate your contract forthwith with a requirement to vacate The Pippins immediately. The owners will not be liable for any costs you incur, nor shall we pay any compensation, nor make any refunds due to this action.  Any damages will have to be paid for in full within 7 days of notification.  We recommend that you have insurance in place to cover this.

Limitation of Liability: Nothing in this clause or these terms will limit the Owners liability for death or personal injury caused by the gross negligence of the Owners. Subject to the preceding sentence, the Owners accept no liability whatsoever for death, personal injury, accidents, loss or damage, to persons or personal belongings howsoever else caused. The use of the Property and its facilities are at the guests own risk. The Owners cannot accept liability for the sudden failure of equipment at the Property but will take immediate and reasonable action to rectify any such failure upon notification by the Guest.

Complaints: In the unlikely event that you should have a problem with the Property, please bring this to our attention immediately so we can investigate and attempt to resolve the issue.

Governing Law: These terms and conditions are subject to and shall be construed in accordance with the laws of England and all parties hereby submit to the exclusive jurisdiction of the English Courts. If any provision hereof is held to be illegal, invalid or unenforceable under any present or future laws, such provision shall be fully severable and the terms and conditions herein shall be construed and enforced as if such illegal, invalid or unenforceable provision had never been made a part hereof. The remaining provisions herein shall remain in full force and effect and shall not be affected by such illegal, invalid or unenforceable provisions or by their severance here from.
